UNDERSTANDING ELECTRONIC MAILS: WRITING AND SENDING EMAILS, RECEIVING AND REPLYING EMAILS, ATTACHING FILES MAILS 

Note: Understanding Electronic Mails: Writing and Sending Emails, Receiving and Replying to Emails, and Attaching Files is taught in Week 6 and Week 8, spanning two (2) weeks. Each lesson should be taught practically using a computer or internet-enabled device to demonstrate how to compose, send, receive, reply to emails, and attach files.

ENTRY BEHAVIOUR

In the previous lesson, pupils learned the meaning of email, how to create an email account, and the functions of the different menus in an email interface.

Building on that knowledge, pupils will now learn how to write and send emails, receive and reply to emails, and attach files such as documents and pictures when communicating through email.

CONTENT OF THE LESSON

INTRODUCTION

Email is not only used for creating an account; it is mainly used to communicate with other people. People use email every day to send messages, assignments, letters, pictures, videos, and important documents.

In this lesson, pupils will learn how to write an email, send it, receive and reply to emails, and attach files when sending messages. These skills will help them communicate effectively and responsibly using email.

WEEK 6

LESSON 1 – WRITING AND SENDING EMAILS

Writing and sending an email means creating a message and sending it to another person’s email address through the Internet.

STEPS FOR WRITING AND SENDING AN EMAIL

1. Open your email account and sign in.

2. Click the Compose button.

3. Enter the recipient’s email address in the To box.

4. Type the subject of the email in the Subject box.

5. Type your message in the message area.

6. Attach a file if necessary.

7. Click the Send button.

LESSON 2 – RECEIVING EMAILS

Receiving an email means getting a message sent by another person.

STEPS FOR RECEIVING AN EMAIL

1. Sign in to your email account.

2. Open the Inbox folder.

3. Click the email you want to read.

4. Read the message carefully.

LESSON 3 – REPLYING TO EMAILS

Replying to an email means sending a response to a message you have received.

STEPS FOR REPLYING TO AN EMAIL

1. Open the email you received.

2. Click the Reply button.

3. Type your response.

4. Click the Send button.

WEEK 8

LESSON 4 – ATTACHING FILES TO AN EMAIL

Attaching files means adding documents, pictures, videos, or other files to an email before sending it.

STEPS FOR ATTACHING FILES

1. Click the Compose button.

2. Write your email.

3. Click the Attach File (paperclip) icon.

4. Select the file from your device.

5. Wait for the file to upload.

6. Click the Send button.

TYPES OF FILES THAT CAN BE ATTACHED

1. Documents – Examples include Microsoft Word documents, text files, and spreadsheets.

2. Pictures – Image files such as photographs, drawings, and graphics.

3. Videos – Video clips or recorded videos.

4. Audio Files – Sound recordings, music, or voice notes.

5. PDF Files – Portable Document Format (PDF) files used for sharing documents while keeping their original layout.

6. Presentation Files – Slide presentations created with applications such as Microsoft PowerPoint.

The teacher demonstrates the following practical activities using a computer, tablet, or smartphone connected to the Internet:

1. Turn on the computer and connect it to the Internet.

2. Open a web browser and sign in to an email account (e.g., Gmail or Outlook).

3. Click the Compose button.

4. Enter a sample recipient’s email address in the To box.

5. Type a simple subject, for example: “My First Email.”

6. Write a short message in the message area.

7. Click the Attach File (paperclip) icon and select a picture or document from the computer.

8. Wait for the file to upload, then click the Send button.

9. Open the Inbox, open a received email, and demonstrate how to click the Reply button, type a response, and send it.

10. Open the Sent folder to show the email that was sent, then sign out of the email account safely.

SUMMARY

In this lesson, pupils learned how to write and send an email by entering the recipient’s email address, typing a subject, writing a message, and clicking the Send button.
